As a member of the Support Services group, the Reception / Accounts Payable Clerk's duties include:

Job Duties:

  • Manage switchboard – including redirecting voicemail messages left in general mailbox
  • Programming the main switchboard and individual phones
  • Daily update of boardroom bookings
  • Greet visitors and clients in a professional manner
  • Manage incoming and outgoing couriers and processing the documents received
  • Manage incoming and outgoing mail and processing the documents received
  • Manage invoices – date stamp, code stamp, send for approval, data entry in accounting system and match up cheque runs
  • Organize cheque deposits
  • Maintain and fill postage meter, notifying accounting of debit memo at the bank
  • Replace toners as necessary and attend to other maintenance issues of photocopiers and printers as needed, including placing maintenance calls
  • Order, maintain and distribute office supplies
  • Fax distribution and maintenance (checking status of paper, PDF faxes to offsite recipients and direct distribution to onsite clients)
  • Order, proof business cards as needed
  • Ensure front door unlocked and locked on daily basis

Miscellaneous Duties:

  • Lunch totals (how many will be in for lunch), call order in and maintain updated menus
  • Lunch room set-up
  • Maintain hot/cold beverage supplies – includes ordering and stocking supplies; stock rotation; monitoring coffeemakers, service calls, troubleshooting
  • Primary contact for building maintenance issues
  • Assist with new employees – telephone set-up, key fob, alarm code, office set up, nametag for door
  • Other duties as required

Education Requirements:

  • Minimum of a High School Diploma

Software Skills:

  • Intermediate knowledge of MS Word, MS Excel and MS Outlook 

Industry Experience:

  • Minimum of 2 years in reception and answering a multi-line phone system
